How it knows who is asking
No login, no password, no app install — the parent’s own phone number is the identity.
1The number is matched to a studentWhen a message arrives, the bot looks the sender’s number up against the student record — WhatsApp number, guardian number or father’s mobile — for the current session. If it matches nothing, the bot stays silent.
2Siblings are handledIf one number is registered against more than one child, the bot asks which child first, remembers the choice for that conversation, and “6 · Change Student” switches at any time.
3Answers come from live dataFees, attendance, marks, homework and timetable are read from your school’s database at that instant — never a cached or uploaded copy.
4Everything lands in your inboxBot replies are saved into the same WhatsApp Chat screen your staff use, tagged as sent by the bot, so nothing happens invisibly.
It stays quiet unless it is spoken to
The most common fear about bots is that they hijack the conversation. This one is deliberately built not to.
Replies only to a greeting or a menu tap“Hi”, “Hello”, “Namaste”, “Menu”, “Help” — or a tap on a menu option. Everything else is ignored.
Free typing works only inside an active flowOnce a parent opens the menu, the bot listens for about 30 minutes. After that it goes quiet again.
“Talk to Office” mutes it completelyThe moment a parent asks for a human, the bot stops replying on that chat for a set period and the conversation stays open for your staff.
Staff conversations are never interruptedWhen your team is chatting with a parent, the bot does not jump in — ordinary messages get no automated reply at all.
What it costs to run
Replies to a parent who messaged you first are free under Meta’s current rules — you are not billed per answer. Charges apply only when the school starts a conversation with an approved template (fee reminders, results announcements). So the busier the bot gets answering parents, the more office time you save at no extra messaging cost.
